Privacy policy

What we collect

When you use the digital Pink Passport, we collect:

• Your name (as you enter it).
• Your email address (used to send you a magic sign-in link).
• Your device’s precise geolocation at the moment you tap “Stamp your passport,” and only at that moment.
• The venue you collected a stamp from and the timestamp of the stamp.
• Basic technical details recorded with each stamp so we can spot fake entries: your internet address and the approximate city it reports, the browser you used, and a random marker stored in that browser. We also run an invisible automated bot check from Cloudflare.

Keeping the drawing fair

The technical details above are used only to review unusual stamping before the drawing — for example, many passports stamping from one device, or a stamp whose network is nowhere near the venue. They are never sold, never used for advertising, and are visible only to fundraiser staff. Thirty days after the drawing is complete we erase the internet address, browser details, and browser marker from every stamp record.

Paper passport entries

If you submit a scanned, photographed, or dropped-off paper passport instead of stamping digitally, we collect the name, email address, phone number, and city you write on the sheet, your initials confirming you are 18 or older, the venues and dates you recorded, and the date we received it. We do not ask for your date of birth. Paper passports are recorded by fundraiser staff into the same drawing pool as digital stamps and are used only to verify and award prizes.

Age confirmation

The drawing is open to entrants 18 and older. When you sign in to the Pink Passport you confirm your age with a checkbox, and on a paper passport you confirm it with your initials. We store that confirmation with your entry. We do not collect or store dates of birth. If you win, we may ask you to verify your age and identity before a prize is released.

Why we collect it

We use this information to track your passport progress, to confirm that stamps happen at the participating venue, and to prevent duplicate or fraudulent stamps. We do not sell your information, and we do not use your email to add you to unrelated marketing lists.

About geolocation

Your location is only requested when you tap “Stamp your passport” on the stamping screen. We do not track your location in the background, and we do not receive your location at any other time.

Cookies & analytics

We use Google Analytics 4 to understand how visitors use the site. Google Analytics sets cookies and collects information such as the pages you visit and the device you use. We also use essential cookies through our authentication provider (Supabase) to keep you signed in to the Pink Passport. You can manage or disable cookies through your browser settings.

How long we keep it

Stamp records and account information are retained as long as necessary to administer the Promotion and measure program impact year over year. Data is not automatically deleted at the end of a given October campaign. You may request deletion of your account and associated stamp history at any time. Physical paper passports are securely destroyed within 90 days after the drawing is completed and winners are confirmed; the recorded entry (name, contact information, and stamp count) is kept with the fundraiser records.
